Diary Events

Diary events are a useful feature to PPS which control the information based on bookings of any kind of event that get held at the clinic/practice. From adding the event to the diary to show that a certain time and room is booked, showing who will be attending, to charging the clients individually. All contained within one easy to manage screen. The following guide will take you through creating, modifying and repeating a diary event.

Creating an event

  1. From your Appointments Diary screen, on the top toolbar, click onto the Event button.




  2. You will then be prompted with the following screen below.



  3. The first action to make is to give your event a name, and event type. Your drop list for this may be empty, so simply enter the type into the box, and this will become available on the drop down menu for future events of this type.




  4. You will then need to specify which Diary user this event will be under, along the location and room if applicable. If you have clicked on the time and day of the event before clicking the initial events button, the event date, time and duration will automatically be filled. You can further modify this, or enter in the dates if no selection was made on the diary.



  5. The next section is optional, and is solely used for a social group or event, whereby 1 person in that group is nominated to deal with the total costs of the event.



  6. The notes section is self explanatory and entirely optional.



  7. The right hand side section is used for adding in each client to the event, to not only show how many people are attending, but to also be used to raise charges to each client via the Cash Desk button if a sole client is not paying for the entire costs as mentioned above in section e.


  8. To add a client in, you need to use the Search button to find them, and the click the Add to List button. If you wish to remove a client, you can highlight them on the list and then click on Remove from List.



  9. When you have your event all setup, it will appear on your diary as shown below in the list style view.



  10. Once you’re happy with how the event has been setup, you can then repeat the appointment by clicking on the Repeat button on the bottom left of the events screen.




  11. As soon as your future event dates have also been selected, simply click OK and these will be added to the diary.
