Setting up your free e-mail account, SMTP details and Troubleshooting

PPS is able to send emails via your local Windows Outlook installation or by entering a set of SMTP provider details. These details can be supplied by your Internet provider, website provider etc.

Most free to use email accounts will not work with PPS, Hotmail, Gmail, Yahoo etc. due to the level of encryption they require and the frequent nature these global company update their email software.

The good news however is that if you are a PPS Online user we provide you with a set of SMTP details as part of the service, these details are Shown below.

For all other PPS users if you do not have your own set of SMTP details you also have the ability to setup a free account via Send Grid which we as a company use a paid for version of but you can setup a completely free account within minutes and this gives you the ability to send 200 emails a day. (You can upgrade your account at any time should you require to send more than 200 per day).



PPS Online SMTP Details

All PPS Online systems contain the below SMTP details but should you experience any issues when emailing through PPS go to TOOLS > SYSTEM SETUP > EMAIL SETTINGS to check they are correct.


Setting up a free Send Grid account

Go to www.sendgrid.com and click on the 'Sign Up For Free!' link

You must now complete a simple registration form, the sections you need to complete are:


Once those details have been entered you select CREATE ACCOUNT


You then receive the following screen:


You will shortly receive an email confirming your account setup to the email address you provided when entering your details.


Now select ACTIVATE ACCOUNT and once redirected you will be asked to login using the credentials you setup earlier:


Once your account has been fully setup and confirmed via an email from Send Grid you will need to enter the newly setup SMTP details which are shown below.


Troubleshooting

Whilst using the PPS Online credentials or a Send Grid account you will not experience any issues, if you use any other SMTP details the following information may be of assistance.

Error message: Authentication Failed

This is a message reported by your email server to advise you that the authentication details you are using have failed to validate. In this instance you should check that the authentication details you have set up in PPS are correct. To do this go to Tools > System Setup > Email Settings. If you are unsure please contact your email provider for advice.

Error Message: SMTP Failed/Server Address Invalid/Cannot be reached

This is a message to say the SMTP address you are using is either incorrect or not in use. In this instance you should check that the SMTP address you have set is correct. To do this go to Tools > System Setup > Email Settings. If you are unsure please contact your email provider for advice.

Error Message: Syntax Error

If you receive a message regarding syntax being invalid this is usually due to there being an unrecognisable character in your PPS Email Settings. Typically there can be anomalies under the ‘Your email address’ or ‘Your name’ fields.
If you continue to experience this error then please contact our PPS Support department on 0845 0680 777 > Option 2.

Error Message: OLE Dispatch Error

This can usually be resolved by re-registering the file which is used by PPS to send the email. To do this you should contact our PPS Support department on 0845 0680 777 > Option 2

Error Message: Error connecting to server; SOCKETTIMEOUT

This means PPS has tried to connect to the email server but it cannot send the email in the required time limit and has therefore timed out. SMTP
