Treatment Plans

Treatment plans are an excellent way to help manage the billing for your treatment throughout the life of the treatment episode. In order to use Treatment Plans you must be using Treatment Episodes and you will ideally also be assigning Treatment Episodes to each of your appointments in the diary.

There are a variety of scenarios for which Treatment Plans have great benefits and this help guide will take you through four different scenarios.

1. A simple Treatment Plan.

2. A fixed course of treatments paid for by Insurance.

3. A pre-payment package that includes 6 treatments for the price of 5.

4. A special offer package that includes 2 Massages and 2 “Foot Pamper” treatments.

The four scenarios will include some other features of PPS to make things easier to set up and use Treatment Plans regularly. These are Multi-Charges and Discounts. These two topics are covered in more detail in the separate help guides below:

1. A Simple Treatment Plan

This example shows how you can use the basics of treatment plans. You set up your plan, add some charges to it then quickly bill the charges each time the patient is seen.

Create a treatment episode by going to “Treatment Episode” and clicking “New”

Go to the treatment plan tab and add four routine consultations to the list




Upon completing the appointment, you will be presented with the treatment plan and all 4 charges available for creation.


Each time you create a charge, the charge will reside in purple to display how far the patient is within their treatment plan.



2. A fixed course of treatments paid for by Insurance.

Most insurance companies will only authorise a fixed number of consultations against an authorisation code. PPS has several features in the Treatment Episode screen to enable this to be managed including setting the number of consultations allowed, setting up the billing details (and allowing these to be changed during the treatment episode to build a billing history) and so on. Treatment Plans offer a valuable addition to the administration aspect of managing the treatment episode by, for example, pre-specifying the fixed number of treatment charges that can be raised (against the insurers authorisation code).

Create a treatment episode by going to “Treatment Episode” and clicking “New”


Go to the treatment plan tab and add the relevant Insurance consultation charges – there is also an option to have these five charges set up via an “insurance multi-charge” by utilising the ‘Multi-Charge’ option in Standard Charges & Stock Items.



You will again be presented with the Treatment Plan screen upon completing the appointment through the diary.



3. A pre-payment package that includes 6 treatments for the price of 5.

Many clinics offer special treatment packages. In this example we will show you how to set up and manage a treatment package that offers six treatments for the price of 5 where the customer has to pay in advance.

Using a Multi-charge, you can set up multiple items for a combined bill (in this example, line 1 is the £150 charge for the package then 6 fully discounted routine consultation line items)


Go to the treatment plan tab to create the massage package as shown below


You will again be presented with the Treatment Plan screen upon completing the appointment through the diary. This time, you can pay off the “bulk” payment as the first charge and all recurring charges will be discounted by 100%


4. A special offer package that includes 2 Massages and 2 “Foot Pamper” treatments.

If your clinic offers these types of special offer packages then treatment plans are an excellent way for you to keep track of what has and has not been billed during the course of the treatment episode.

Using a Multi-charge, you can set up all multiple items in the special offer package. The example below has been set up with 4 items (2 massage and 2 pampers)


Upon completing the appointment, you will be presented with the treatment plan screen in order to select the correct charge to bill for.




For the next consultation, you can see the patient is left with 2 massage and 1 pamper
