In PPS you can configure the style and arrangement of your Appointments Diary to best suit your needs and preferences.
a. Above are examples of how a single day of bookings would look for one Diary User in either of PPS's two styles of diary view: List Style and Diary Style. You can switch between these at any point by right-clicking a slot on the diary and choosing Select Diary View.
b. From this screen you can switch between List and Diary style and make choices on how your diary will be arranged. These options can be altered at any time so feel free to make adjustments until you are happy.
These same settings are also accessible via Tools > Options > Appointments Diary Options > Diary > Default Diary Display Settings. In this screen, as well as in the Appointments tab of the same window you can further make modifications to how your diary appears. Find information on some of the options here below:
Diary Starts - This won't affect the availability of any of your Diary Users but if you view the Diary in Diary Style then the Start time will the time that appears at the top of the screen when you first open the diary. If you send your reminders as the Start of the Diary then the system will base that off the time entered here.
Default Appointment Duration - Set the default duration for appointments added. Any durations set up as part of Availability will override this.
Screen Refresh - Set how often your diary automatically refreshes and updates. Increasing this number can help resolve speed issues you may be having as it puts less demand on your local network.
Default Diary Column Order - If you are viewing your diary with multiple Rooms or Diary Users then you can alter the order in which these appear from here or by right-clicking a slot on the diary and choosing Select Diary Column Order. Drag and drop the entries in the list to determine the order they appear in the diary.
c. Back in the Appointments Diary itself you'll notice some filters at the top of the screen. These dropdowns allow you to specify what bookings and availability are visible based on the locations and departments they are assigned to. Additionally, if you're viewing your diary based on a single Diary User or Room then it is from here that you will switch between these.
d. Staying in the diary you'll notice some options in the bottom left corner of your screen. The first of these allows you to increase or decrease the number of columns in view at any time. You can use this to view additional Diary Users, Rooms, or Days dependent on your set up. The grid buttons beside here allow you two switch between All Diary Users/Rooms for a single day and the Selected Diary User/Room for a full week. The final icon allows you to toggle on or off a privacy feature that hides all client names/details from view on the diary.
