When an Activity in your name is due or when another PPS user sends you a message you can receive a notification in the form of the 'Messages and Activities Due' pop up shown below.
a. You can manually generate this pop-up at any time by going to the Activities menu at the top of your screen and choosing Check for Messages/Activities Now. Alternatively, you can have it automatically appear whenever an activity in your name is due by setting up your PPS Messages option.
b. To do this you'll first need to be logged in as the System Administrator and navigate to Tools > Set Up Practitioners and System Users. Locate the system user you want to enable this for and double click their name.
c. In the PPS Messages tab choose how often the system will check for any messages/due activities and provide a pop-up if any are found. Set this to 0 to disable all automatic message checks. If you have issues with PPS speeds you can bring the frequency of this down and often see improvements. Click Save once done.
Tip: You can get messages when a client in your diary is marked as arrived for an appointment. Enable this via Tools > Options > Appointments Diary Options > General. With 'Check for Messages' enabled too this will pop up on screen for you to see.
d. To make sure activities in yours or another user's name are present in Message and Activities pop-ups you need to ensure that Auto-Notify is ticked in the scheduling section when creating the activity. In most activity types you'll need to click More to see this option. Once you've been notified of an activity tick Notified to receive no further notice of it.
e. When the Messages and Activities Due pop-up appears you have the following options:
Process- Opens the selected Activity/Message
Dismiss- Marks the selected activity as Notified and Completed without opening
Postpone- Postpone the activity for a period of time. You'll be notified again once it's due
Give me 5 mins!- Postpone all activities and messages for 5 minutes and be alerted again at that time.
Close- Close the screen without making changes to any of the activities.
