Utilising this feature will allow your practitioners to receive commission based on charges raised from the system in their name.
There are two possible ways to set up commission in PPS. Section 1 of this guide details how to set up an overall percentage rate of commission for your practitioner that will apply to all accounts. Section 2 will take you through the alternative method which involves applying separate commission rates or fixed amounts based on different types of charges. Finally we’ll take you through the commission reports so you can see what commission has been received.
Section 1 – Overall Practitioner Commission Rates
Firstly we will go through the option to set up an overall commission rate for everything raised under a particular practitioner's name.
Note: If you have more than just treatment charges on your system then setting an overall commission rate in this way will give your practitioner the same commission rate on all stock items and charges including any sundry items.
If you set up additional, more specific rates as per Section 2 of this guide then these settings will override the overall rate set here where relevant, so it is possible to utilise both methods. For example, you can set an overall rate for all charges for this practitioner of 15%. Then, following the steps in Section 2 set a fixed rate of £5.00 for all items in the category "Product".
To begin go to Tools > Set Up Practitioners and System Users. Select the practitioner you wish to set the commission rate for and choose Modify.
You can then set the overall commission rate on all appointments and charges raised with this practitioner in the User Set Up area of the User Profiles screen. Once done click on Save to close. All charges for this practitioner will now carry this commission rate unless you continue to set additional rates as per Section 2.
Section 2 – Individual Practitioner Commission Rates
Important: In order to set up commission rates on an individual basis your standard charges should all have Charge Types assigned to them. You can do this by going to Tools > Look Up Tables > Standard Charges and Stock Items.
The second area of PPS whereby commission rates can be set up is a more versatile and customised set up for your practitioners. Begin by going to Tools > Look Up Tables. Double click on Practitioner Commission Rates.
Here you will find any existing practitioner commission rates. Modify these by selecting them and choosing Modify. To create a new commission rate choose Add.
The New Entry window will give you three fields to utilise. Firstly, the Practitioner box requires you to select the individual that requires the new commission rate. Secondly, you will need to select the Charge Type that the practitioner will receive this rate on. These will be the same Types created when adding charges via Tools > Look Up Tables > Standard Charges and Stock Items. Finally you'll need to input either the percentage or fixed fee rate the practitioner will receive
Once this has been done click Save and this will apply the commission to the practitioner. You can assign as many rates to as many practitioners as is required. Any charge types not entered for specific commission will revert to the overall rate set up in Section 1 if there is one. If not then no commission rate will be applied.
Section 3 - Practitioner Commission Rates
To view how much commission is owed based on the rates entered head to Reports > Reports & Mail Merge > Accounts. Double click on the Practitioner Commission Report.
In the Select screen choose first if you'd like to just view results for a particular practitioner. Leave this drop down blank to include all. You'll then also need to select how your commission rates should be calculated via the accounts options.
Then, in the Date Range tab set the range you want to view results for.
Choose Finish and then Preview to view your results.
