Price Profiles allow you to create a record of one charge with differing costs based on practitioner, location or invoicee.
This feature keeps your list of standard charges to a minimum and helps you to utilise PPS as efficiently as possible.
This guide will take you through setting up Price Profiles and give a demonstration of them being used.
Section 1 - Setting up Price Profiles
a. Once you have added Standard Charges & Stock Items you can begin configuring them to vary in prices based on practitioner, location or invoicee. The charges will need to be in place beforehand and you can find more details of how to set these up here.
b. You can access and modify your Price Profiles in one of two ways:
- To view all Price Profiles presently on the system or to add any for pre-existing Standard Charges navigate to Tools > Look Up Tables > Standard Charge Price Profiles. Double click this option to access the screen where new Price Profiles can be created or where changes can be made to existing instances:
- You can also add Price Profiles on a Charge specific basis. Navigate to Tools > Look Up Tables > Standard Charges and Stock Items and double click on the charge you want to add different prices for. Then, when in the Modify screen press the Price Profiles button:
c. You'll now see a list of existing Price Profiles on the system or for that particular charge. Click New to add a new entry or select and existing and choose Modify.
d. In the "Add New" screen you have options to configure your Price Profile. If you entered this screen via an existing Standard Charge then the Code and Description will be present at the top, otherwise you will need to manually locate the charge. Press enter to open the Charge Item search screen in order to locate the correct item.
Once the charge is selected you can choose whether to distinguish the Price Profile by Location, Clinic or Invoicee. You can use one, two, or all three of these options in any combination in order to get the correct pricing conditions. In the above example whenever a charge is raised under Jane Smith at the Clinic for any invoicee there will be a Net price of £43.00 applied.
e. Continue to add as many Price Profiles as is required for this particular Charge Item or on the system in general. These can be modified back in the Price Profiles screen accessed in step b.
Section 2 - Using Price Profiles
a. In the example of the ROUTINE TREATMENT charge shown above the base prices was £40. The Price Profiles applied have set this to apply an alternative charge amount of £43.00 for charges raised under the practitioner Jane Smith at the location Clinic.
Using the Create a Charge screen as an example below we can see how selecting Jane Smith and Clinic alters the price:
b. When a charge is selected and you change location/practitioner/invoicee the below prompt will appear. Click Yes to check for and apply any Price Profiles that may be present.
