In PPS you can bill third-parties on behalf of clients for any charges and invoices raised on the system. The following guide will take you through the process of billing a third-party from PPS. Find information on adding, modifying, and reviewing third-parties in PPS here.
a. You can bill any third-party on your system for a client's charges but it's quicker if the third-party is linked to that particular client via the client details screen.
To associate a third-party to a client open the Client Details screen which you can find under the Client menu. In the Contacts section choose Add a Contact and select the third-party type you want to add.
Back in the client details screen click the dropdown beside the third-party name to open the third-party search window. Enter part of the required third-party name in the "Show all entries like" field and press Enter to view matching results or leave this field blank and press Enter to get a list of all third-parties of this type. You can then select the third-party you want to associate by double clicking.
b. The point at which you choose to bill either the client themselves or the third-party can be done when raising charges.
From the Create a Charge screen you can choose to Invoice the third-party. The charges will still be visible on the client's log and accounts screen but will also be present on those same screens for the chosen third party. Once you've selected to bill a third-party from here choose the correct third-party. If there are third-parties already associated to this client via Client Details then they'll be readily available in the dropdown list so you can select them more quickly. Go through the search function to choose a third-party not linked in the client details screen.
Extra Information: You can divide the balance of an invoice between the client and third-party using PPS' Split-Billing function. This is only applicable to invoices raised to the third-party, not the client.
c. You can also choose to bill a third-party when completing an appointment for a client using the "Charge To" option on the Appointment Complete screen. Click this and choose the relevant third-party and any charges raised from here will be for the third-party rather than the client.
Important: It's not possible to raise charges to third-parties via Cash Desk
d. If you've already raise an invoice to a client and wish to change it to a third-party then open it up from the log, accounts screen, or Invoices / Receipts list and choose Change Invoicee at the bottom of the screen. This cannot be done if the invoice is issued.
e. If you use Treatment Episodes then you can bill a third-party for an entire series of treatments by setting the Billing Details accordingly. Any appointments or consultations then associated to this Treatment will default to that third-party for billing.
f. Once charges have been raised for a third-party you can raise invoices or review any outstanding via their Accounts screen found via the Accounts menu. Switch to a third-party account by clicking "Third-Party" at the top of the screen and using the search. Alternatively, when in a client's account screen double click a third-party listed in the Available Details box shown below to be taken to their account.
g. Invoice and charges can be raised for third-parties in the same way as clients. Find information on the billing process in PPS here. If the third-party makes a bulk payment to be assigned to multiple invoices for different clients then assign this as you would a pre-payment. PPS also allows you to submit invoices to third-parties via Healthcode.
