PPS Clinical Notes allows you to monitor courses of treatment using Treatment Episodes, record consultation notes, and custom forms which include body charts and full customisable questionnaires.
This guide will give you a general introduction to Clinical Notes in general and link you to various guides to give you more information on each of the key components.
Section One - Treatment Episodes
Treatment Episodes are the framework in which your clinical notes are recorded. They can be used to house all details of a specific course of treatment for a particular client for example, a particular complaint. It's possible to have a client running more than one concurrent treatment and for you to assign notes and appointments to each depending on what they come to the clinic for on any given day.
Treatment Episodes can be used to bill the client or third party for a series of treatments and are a vital component of PPS's ability to export invoices to Healthcode for easy third party billing. Use Treatment Episodes to raise Treatment Plans which allow you to pre-arrange a series of charges that the client can then raise and pay along the course of their treatment or pay off in bulk at the commencement, perhaps as part of a discounted offer. You can also use the Treatment Episode to limit and monitor the number of appointments and consultations a client has had in the course of on treatment.
Section Two - Consultations
Consultations allow you to record the details of each client visit in as much details as is required. Access body charts and diagrams directly from the consultation to create visual notes that can be reviewed at any given time.
Text Sets allow you to collate frequently used terms and layouts to speed up the note taking process or provide an easy way to ensure a standard structure for note-taking is set across your practice and practitioners.
PPS also has integrations with Physiotec and PhysioTools which allow you to create personalised exercise programs for your clients which can be given to the client and saved to their consultation records.
Signing off consultation notes and forms allows you to keep them secure from any changes. This can be done via the Sign Off button.
Section Three - Custom Forms
Custom Forms are questionnaires that can be built and customised by you to be filled in for your clients as part of their consultation notes. These can include body charts, scales, and multiple choice type questions. Export the answers of a particular client's custom form to Microsoft Word where they can be used to automatically populate important treatment information into letters or other personalised documentation for your practice.
PPS local users have the ability to utilise a signature pad and add client signatures directly to their custom forms.
You can report on answers to custom forms using the custom forms reports which can be found via Reports > Custom Form Reports.
Section Four - Clinical Notes Reports
Navigate to Reports > Reports & Mail Merge > Clinical to view the series of reports that are focused chiefly on consultations and treatment episodes and all the information you have recorded here. Some of these reports are bult as standard to allow for easy access to more commonly required results such as Treatment Episodes where the estimated end date has been reached but the episode is still open.
