If you have a PPS System User that you'd like to remove then there are two ways of doing this:
1 - Delete the User completely. Though nothing under the user's name (appointments, charges etc.) will be deleted from the system, their appointments will no longer be visible in the diary as their diary display will no longer be present. You will still be able to report on their appointments and can re-add the user exactly as they were at any time to reinstate them.
2 - Leave the User on the system but disable their login, diary, and status as a practitioner. These can easily be restored at any time by reversing the steps shown in this guide. As above, removing a user's diary will remove appointments from the diary view but not reports, client logs, etc. This is the method we recommend as it's far easier to revert either permanently or temporarily.
Sections 1 and 2 will take you through these two options respectively. You will need to be logged in to PPS as the system administrator to make these changes.

Section 1 - Deleting the User Completely
To delete a user altogether you will need to log in as the system admin and navigate to Tools > Set Up Practitioners and System Users. Highlight the relevant practitioner and choose Delete.
If you are using this method then we recommend keeping a record of the way the practitioner's name and initials appear on the system as you will need to re-enter these exactly should you ever need to reinstate the user.
Warning: This is not our recommended method for deleting a user in PPS. We recommend the method details in Section 2 as it allows for the user or their diary to be quickly reinstated if required.
Section 2 - Disabling the User
To disable the user's login as well as their status as a practitioner and/or diary user you'll need to be logged in as a system administrator. You can then navigate to Tools > Set Up Practitioners and System Users. Highlight the user you want to disable and choose Modify.
In the User Set Up tab you have the option to enable or disable the user's status as a Practitioner. If you untick 'Is a Practitioner' then the user will no longer appear as options for accounts, activities, or to assign clients to.
You can also untick 'has an Appointments Diary' to remove the client's diary view and also remove them as an option for new appointments.
Both of these can be reinstated at any time by re-ticking the boxes.
If you would also like to remove the user's login to the system so that they cannot gain access then you can do so by heading to the Log In Details tab. Untick the box to disable their ability to log in to PPS.
Once you've made all the changes press Save.
Reporting on a Disabled User

You can still use the reports in PPS to look at past data involving practitioners or system users even if you've disabled them as above.
By unticking both 'Is a Practitioner' and 'Has an Appointments Diary' you will no longer be able to see the practitioner/diary user's name in any drop-down lists in PPS, including in the reports screens but if you were to run a report within the date range that applies to when they might have been active in the system the report will include them.
If you tick 'Is a Practitioner' but not 'Has an Appointments Diary' this will allow you to select that practitioner from the drop-down list when running all reports except for Appointment Reports.
If you keep both 'Is a Practitioner' and 'Has an Appointments Diary' ticked you will be able to view that user's name in the drop-down lists in all reports in the system again. This will also mean that you'll be able to see that practitioner/diary user in other areas of the system again, including all other tick boxes but both of these options can be removed at any time by unticking the boxes to disable the user again.
Reporting on a Deleted User
In order to report on a user that you have completely deleted from the system (according to the steps in Section 1) you will need to add the user back into the system with the same full name and initials and tick the boxes as above for the reports that you require (tick 'Is a Practitioner' and 'Has an Appointments Diary' to view the practitioner in all reports or just tick 'Is a Practitioner' to view that practitioner in all the reports except for the Appointment Reports.)
Once the user is added back into the system you can run the reports as required and you can then disable the user again after running the reports according to Section 2 or delete the user again according to Section 1.
