If you send emails from PPS Hosted, PPS Express or PPS Online booking and use the built in Sendgrid service provided free of charge you may have noticed the unsubscribe link automatically placed at the end of emails sent.
Plain text emails will end with a long URL unsubscribe link. HTML emails will contain a shorter "click here" style link.
Why this link is automatically added to emails
UK law dictates that all direct marketing emails include an easy way for recipients to ‘opt-out’. Generally, for emails this is provided in the form of an unsubscribe link that the recipient can click to be removed from the mailing list.
In order to comply with the regulations in place an unsubscribe link is now automatically added to all emails sent through the Sendgrid email service provided free of charge with PPS Hosted, PPS Express, and PPS Online Booking.
When a user clicks unsubscribe their email address is automatically added to a list of unsubscribed users. Future emails to this address will automatically be stopped before reaching the user.
A user that has unsubscribed would like to receive emails again
In order to remove the address from the unsubscribed list we need to see evidence of an email from the address that has unsubscribed asking to be removed from the unsubscribe list. Please request that the individual email this request to yourselves so you can forward it to support@rushcliff.com quoting your PPS registration number so that we can action the request. Please note that a request to remove an email address from the unsubscribe list will only be accepted if it is from the address asking to be removed.
Removing the unsubscribe link from sent emails
All emails sent using the email service provided free of charge with PPS Hosted, PPS Express and PPS Online Booking will contain the unsubscribe link. It is possible to setup and use your own SMTP email account to send emails rather than using the provided account. It would then be your responsibility to include a method for recipients to ‘unsubscribe’ from any direct marketing sent. If you would like to use your own SMTP account, please email the details to PPS Support. The details that would be required would be:
Your PPS Registration Number
SMTP Server Address
SMTP Username
SMTP Password
Information on setting up your own SMTP account with Sendgrid can be found here. There are many other 3rd party SMTP providers available, if you would like the check the compatibility of a provider before setting up an account please contact the PPS Support team at support@rushcliff.com
Important: For PPS Local and Hosted users; if you want to use your own SMTP settings within PPS to process your emails please note that you will need to be on PPS version 4.1.12 or our priority version 4.0.9909 or above to send emails through TLS 1.2 encryption, any PPS version below this will only support sending emails through TLS 1.0 or TLS 1.1.
The law does not cover transactional emails, such as booking confirmations, why do these have an unsubscribe link?
Whilst the legislation only covers direct marketing and not transactional emails such as receipts and booking confirmations is it not currently possible to detect the type of content being sent and only include the unsubscribe option for direct marketing. In order to ensure that the legislation is adhered to all emails contain this link.
Can I see who has unsubscribed from my PPS emails?
If you're using Sendgrid account provided by us, then no. This will only be available if you use your own SMTP account.
