Important: This guide will only apply to PPS systems that have access to update to v4.1.1803 or higher.
This guide will cover all you need to know about updating your PPS version to get access to the latest version of Sync Server - Sync version 2.
You will need to read this guide if you already have a PPS system syncing with another system using Sync Server version 1 and you need to update to Sync Server version 2.
Section 1 - About Sync Server
PPS Sync Server is an additional PPS application that synchronises data between two or more separate PPS systems. Each syncing PPS system will host its own Sync Server which will upload changes from its respective system and download those made on the others.
There are various scenarios in which your PPS system may require Sync Server including the following:
- You are a PPS Local system and you need to share data with other Local systems, perhaps in the locations of your other clinics.
- You are a PPS Local user who synchronises with a PPS Hosted system, Express, Online Booking, a Call Handling system or a backup system hosted on our servers.
Look for your type of PPS solution or set up in one of the groups below to look for instructions and guidelines for updating.
Solution 1: Local system/s syncing with only local system/s
If you have a local system that syncs with another local system/s and no hosted presence you will be able to update all of your systems yourselves but you will need to ensure that you plan the update and update all systems at a similar time as your systems will not sync until all systems are on the same version again.
Follow this guide for the steps to update your local PPS systems.
Solution 2: Local system/s syncing with a PPS Hosted system
Important: This group does not include any systems that also have Express v1
If you have a local system that syncs with a Hosted PPS system you will be able to update both systems yourself. You will need to ensure that you plan the update and update all systems at a similar time as your systems will not sync until they are all on the same version again.
Follow this guide for the steps to update your local PPS systems.
Solution 3: Local system/s syncing with a non-accessible online system
Important: This group does not include any systems that also have Express v1
If you have a local system that syncs with an online system for Online Booking, Call Handling or an online backup system you will need to update your local system/s and then contact support@rushcliff.com to request that your online system is also updated to keep all of your systems syncing.
You will need to ensure that you plan the update and update all systems at a similar time as your systems will not sync until they are all on the same version again.
Follow this guide for the steps to update your local PPS systems.
Solution 4 - Local system/s syncing with Express v1
If you have a local system/s that syncs with PPS Express v1 you will be contacted individually by the Support Team to arrange your PPS and Sync update and your Express system will also be upgraded to Express v2 at the same time.
Section 2 - Updating Sync Server
You will be able to follow the steps in this guide to update your PPS system/s. Once you have updated and re-indexed your system/s you will be able to launch Sync Server and this will prompt the new Sync App to launch.
As mentioned above, please ensure that you are logged into each machine as the Windows System Admin that you are performing the update on in order to fully install the update (for Sync Server and for PPS).

If the system/s you are updating is on PPS v4.0
Please note - your systems will not sync at all until all systems are on 4.1.1803. Each system will need to be updated individually before you can launch sync server and it will automatically update to the new Sync App.

If the system/s you are updating is on 4.1 already
Please note - that you will need to update all system/s in your sync family to 4.1.1803 to use the new Sync App. You will be able to use Sync Server as normal until all your systems have been updated to the latest version. Once this happens all systems will automatically update to the new Sync App and your sync family will be fully migrated.
When you have updated PPS to the latest version you will be able to launch Sync Server again and you will see Sync Server update to the new Sync App.
You will then need to click on Install to finish the setup and begin syncing again.
Section 3 - The Sync App
The new Sync App will work exactly the same as your previous Sync Server but here is a rundown of the settings and options:
Minimise - This will remove the App from your desktop and place it in the 'Hidden Icons' (^) on your Task Bar.
Database Location - This will be the location of the database for your PPS local system. To ensure that this is stored correctly in the Sync App navigate to Help > About PPS in your PPS system and check the database location matches the stored location in the Sync App before you run Sync
Run Sync Sycle - This is the length of time between sync cycles that you can reduce to sync your systems more frequently.
Latest Status - This section shows the sync status and when it last connected and what has been uploaded from this system to your other sync system/s.
Sync Now - Use this button to sync your systems now, this can be used when you first launch the Sync App and want to begin syncing.
More - This will expand the screen and provide more information that is being recorded in the sync log file. If you select 'More' you will also be able to see if the system is currently sycing or if it is idle.
