This report will go through each of the 3 stock reports in the system and how to use them to pull through different information required. It's recommended that you read our general reporting guide first, to better understand PPS' reporting capabilities.
Section 1 - Selecting a Report
Navigate to Reports > Reports & Mail Merge > Accounts where there are three pre-built stock reports available.
Stock Levels Report: Shows current stock levels and value
Stock Batch Details Report: Shows details of stock batches and stock adjustments
Stock Movement Report: Shows details of stock level changes such as movements, adjustments, and charges.
Section 2 - Select
On each of the 3 reports you will be able to filter the results of the report in the first screen. The options will be displayed when you first Open the report.
1. Stock Levels Report - select the option if you want to include only the stock levels below or at minimum level or if you also want the stock above the minimum level. You can also select additional options to split the report by department or location.
2. Stock Batch Details Report - select to order the report by batch number then code or code and then batch number. You can also include or exclude stock that has been issued with the tick box.
3. Stock Movement Report - select a specific department or leave blank to include all. Select a specific location or leave blank to include all. You can also look at the stock movement for specific item codes or batch numbers. This is a good way to look at exactly what has been dispensed and what stock has been added for specific stock items.
Tick the boxes to include static and dynamic balances or to only include items with static and dynamic differences depending on your stock control options in the Accounts Options.
Section 3 - Date Range
1. Stock Levels Report - The date range is not applicable here as the report will look at all stock added in the system.
2. Stock Batch Details Report - Select a date range if required. You can choose to apply the date range to the date that the batch was added or the expiry date of the batch.
3. Stock Movement Report - select a date range if required to look at when stock has been added or dispensed. If you want to include records for all stock movements in the system then add a wide date range that will cover all the time that you will have used the system. If you do not add that wide date range the report will only look at the last month of stock movement.
Section 4 - Breakdown
You can breakdown all 3 reports with various different options. You might want to look at the Stock Levels Report broken down by location. You might want to look at the Stock Batch Details Report by each month so that the batches and expiry dates can be be monitored. You can also choose to breakdown the Stock Movements Report department or location to show the totals for each.

Section 5 - Criteria
You can select specific criteria to filter your report further. Only the Stock Levels and Stock Batch Details Reports have criteria options.
