This guide will go through updating your diary availability duration and appointment type duration to allow for changes to be made to the diary set up.
Important: This guide is designed for systems that already have availability and appointment types set up so if you are looking to set this up in a new system you should have a look at these set up guides for Availability and Appointment Types.
Diary Availability Duration
This section will show you how to make changes to existing availability, like changing your appointment duration.
Select Tools > Set Up Appointment Diaries. Here you will see the existing diary users and the availability set out in weeks of the year.
Find the diary user that you want to modify and then follow the weeks along until you find the week that you want to start the modifications from. Double click to open that week or select Modify.
You will then see each of the days for that week and the availability set up. Double click on the day that you want to modify and here you can change the appointment duration:
Update the duration for each day of the week where necessary and save the changes:
This can be repeated forward if the availability for this practitioner will be the same going forward.
You will see the duration of the slots in your diary have now changed:
The example above will allow shorter gaps to be left between appointments or for shorter appointments to be booked.
This section will show you how to make changes to existing appointment types, like changing the duration of an existing appointment type.
Select Tools > Look Up Tables > Appointment Types > Open.
Here you will see a list of existing appointment types. Double click on the one that you want to modify.
Update the duration as required and save the changes.
Tip: Please note that updating your appointment type duration will not update the duration of the existing appointments in your diary. These will need to be modified manually.
