It's possible to report on both blocked out time and diary availability using the Diary Statistics report found via Reports > Reports & Mail Merge > Appointments. It's recommended that you read our general reporting guide first, to better understand PPS' reporting capabilities.
Section 1 - Selecting a Report
All reports can be found via Reports > Reports & Mail Merge and are sorted into sections. For this report, we’re going to open the Diary Statistics Report.
Section 2 - Select
This screen allows you to restrict which records are included in your report. Here you can select to include a specific Diary User if required.
This can also be skipped.
Section 3 - Date Range
Now we need to select the date range to apply to the report. You might only want to focus on the report for Last Month, for example.

Section 4 - Breakdown
This section allows us to break down the report by certain areas. The report will automatically break down by Diary User but there are other limited options to select.
Section 5 - Criteria
This section allows us to be particular about the results we’re including in the report. There are also limited options to select from here if, for example, you only want to look at records relating to a specific department or location.
This section can be skipped.
Section 6 - Interpreting the Report
This report goes into quite a bit of detail. When you Preview the report you will see columns containing Scheduled Time with total, blocked and available hours; Appointments with hours and quantity; Diary Events with hours and quantity; DNA with hours and quantity; Total hours, Occupancy % including and excluding DNAs; and DNA % with hours and quantity.
The report rows will show the different diary users (unless one specific user was selected) and the totals of each column for each user.
Please note that at the very bottom of the report you will find Column Definitions which show how certain column totals have been worked out.
