This report will show you how to run a report to pull through all clients with a specific critical note. It's recommended that you read our general reporting guide first, to better understand PPS' reporting capabilities.
Section 1 - Selecting a Report
All reports can be found via Reports > Reports & Mail Merge and are sorted into sections. For this report, we’re going to open the Client List Report to use the Reports Wizard.
Section 2 - Select
You will need select to include Any Single Occurrence to include all clients in the search. You also have the option to choose a specific practitioner in this section - remember that this is the practitioner assigned in the Client Details screen, which may differ to the practitioner who treated the patient.
Section 3 - Date Range
Now you can select a relevant date range if you want to only include client records over a specific period in the search. This section can also be left blank.
Section 4 - Breakdown
This section allows us to break down the report by certain areas, for example we could choose to break down the report to group it by practitioner or location.
This section can be skipped.
Section 5 - Criteria
This section allows us to be particular about the clients we are reporting on. You can use the specific criteria to pull through clients with a critical note containing specific text for your search.
Section 6 - Print/Preview Options
This section allows us to choose extra snippets of information to view in the report Preview mode. Toggle to include things such as No. of Appointments, Spent Total etc.
Section 7 - Update
You can also use the client reports in a different way to update certain records globally for the clients selected in your report.
You may have a situation where you want to add a specific critical note to a group of clients. You can run a report based on your specifications and then proceed to the update menu where you can add the required details of the note you want added.
Once selecting Update you need to select Critical Notes and you can add the details of the note you would like to add. Start and expiry dates can also be entered.
Once the note has been entered and the dates added where required select 'Go' to complete the update.
Please note that the update might take a while if your report has selected a large group of clients.
