Use the diary to manage your appointments and unavailable time as well as raising charges for treatments from the diary or marking an appointment as not attended.
Section 1 - Navigating the Diary
Use the Book option from the top menu. You'll then be given a number of useful options to quickly jump to the week you are looking to book a client in for.
Alternatively, access the diary directly via the Diary menu option. You'll be presented with your availability, appointments, and be able to see where there are gaps for new appointments.
Section 2 - Booking an Appointment or Adding Blocked Out Time
Once you have located a suitable appointment slot, click it and you will be prompted to select a client to book into it. Here, you can either select the client you are currently working with, one you have worked with recently, search for an existing client, or add a completely new client.
Next, you'll be able to select the relevant Appointment Type from the drop-down list, make changes to the duration, location or department, where relevant, and add any useful notes.
Select Finish to confirm the appointment. Once added, you will be taken back to the Diary where you will see your appointment now booked in.
You can also add blocked-out time this way. When you select the slot in the diary select Block Out Time instead of searching for a client.
Select the reason, duration and check the other details like date, diary user, department, location, where relevant, or add any useful notes. Select Finish to confirm the blocked-out time and you will be taken back to the diary where you can see the blocked slot.
Section 3 - Modifying an Appointment
In order to make any changes to an appointment in PPS Express click the appointment either from the main Diary screen or the Client Log. You are then presented with a range of options, choose Modify to make changes to this particular booking. You are then able to edit any of the details associated with the appointment - including its status. Select Finish and the changes will be saved.
If you want to make a change to the time or date of the appointment you will need to Move the appointment. Select the relevant appointment and select Move and then click in the diary slot where you want to move the appointment to.
Section 4 - Deleting an Appointment
If a client does not attend their appointment you can use the Did Not Attend option to record this. To do this select the relevant appointment and select Did Not Attend where you will see the options to DNA, re-open the appointment, give a DNA reason and any charges that might apply.
To completely delete an appointment click the booking in the diary and select Delete Appointment. Confirm the deletion and you will be taken back to the main Diary page.
