Save time and work consistently by creating Email templates in PPS for all communications to your clients. Email templates can be created through PPS either in a Plain Text format or as an HTML style email.
1. Plain Text Style Emails
The Plain Text style email templates are stripped-down email templates with only text and no images or formatting options.
These templates can be added quickly and simply in PPS by just adding the text required for the template.
Tip: Personalise all email templates by including merge fields to automatically populate relevant information such as client or appointment details. Merge fields are readily available via the Merge Field button.
Please note that if you are a PPS hosted user using our default Sendgrid email settings with a plain text email template the unsubscribe link will be included and will look like this when viewed in the client's email inbox:

2. HTML Style Emails
HTML emails allow you to use HTML language to create a visually appealing email to use to communicate with your client.s
Please note that if you are a PPS hosted user using our default Sendgrid email settings with an HTML style email template the unsubscribe link will be included and will look like this when viewed in the client's email inbox:

Tip: If you are a PPS Local user you will need to ensure that the email client you're using allows for the sending of HTML emails. Most SMTP accounts can process these whereas some local installations such as Outlook cannot. Have a look at this guide for instructions on sending emails via SMTP in PPS.
a. The HTML Wizard
The HTML Wizard is a function within PPS that allows you to construct basic HTML formatted e-mails in PPS. For more information on setting up a template using the HTML Wizard have a look at this guide.
b. Select an HTML Document
This feature will allow you to create an HMTL document outside of PPS and then attach it to the template in PPS. This feature allows you to design a professional-looking email template, where you can design it to suit your company's branding, including images, links and other interactive tools offered through HTML. PPS merge fields can also be used in an HTML template designed outside of PPS. When the template is added to the system and the email is generated for a client the system will still be able to populate the merge fields.
Create an email template in HTML using a 3rd party program, like Mailchimp, or ask a web developer to create a template for you.
Once the HTML template is created you can then upload it into PPS by choosing to Select HTML Document in the Activity Template where you can then attach your template. PPS will then use that template to generate the email to your clients.
