Please Note: This guide is only relevant for Online Booking version 5. Please contact the PPS Support team if you are unsure of which version you should be using.
This guide is to be used if you currently have Online Booking v3 and have been notified by the Support team that your system has been upgraded to use online booking v5.
The setup advice in this guide goes through the new features or changes in this version of Online Booking but if you need to look at the full steps of setting up online booking v5 please read this guide.
Section 1 - Enabling Events
Tip: If you have already been using Online Booking v3 you will most likely already have a number of your appointment types set up for bookings but if you do need to set up any appointment types please follow the steps in Section 4 of this guide.
Online Booking v5 now allows for events to be booked online so your clients can now book an individual appointment or an event (like a class or any booking with multiple attendees).
The steps below will show you how to set up an event to allow your clients to book in online.
Navigate to Tools > Look Up Tables > Appointment Types.
If the event already exists in the list you can select to Modify the event or you can add a new event by following the steps in this guide.
When adding the event please ensure that the Event Type is selected here:
You can then find the Online Settings for the event by selecting More where you can add a display name and tick the box to make the event available for Online Bookings.
You will then need to add the Online Availability for the event to assign it to each required practitioner and location.
The next window which pops up will be blank the first time you access it; this is where you define what is available to your clients. Click New to add new options.
In this window, you can select which locations this event should be available for online by selecting a location from the drop-down menu. If all locations are applicable choose ‘All Locations’.
You can also select which practitioners this event should be available for by selecting a practitioner from the drop-down menu. If all practitioners are applicable choose ‘All Practitioners’.
If only a select few of your practitioners or locations are applicable to this particular event you will need to follow this process to add each practitioner and/or location until you can see all relevant options in your Online Profile list.
You will also need to tick the box titled ‘Available for Online Appointment Booking?’ on each profile that you set up.
Tip: Once the Event is set up to be available to book online you will need to add the event to the diary so that it can be visible to book online.
Section 2 - Accessing the Online Booking Admin Module for v5
There is a new Admin Module to allow you to manage certain aspects of your Online Booking service without the need to log in to PPS, giving you the freedom to make changes from any location, on any device.
You will need to access this new Admin Module to either access the new Holding Page link, if that is what you will be using to allow your clients to book online, or authorise your website domain and find the code to integrate your online booking into your website.

Section 3 - Integrating the new code into your website
If you have your own website and intend to display the online booking page from your website you will need to re-integrate the code for this new version.
